Terms of Service
Last updated: October 29, 2026 · Effective: October 29, 2026
These Terms are an agreement between you and RefSynced LLC ("RefSynced", "we", "us"), an Indiana limited liability company. They cover refsynced.com, app.refsynced.com, our emails and notifications, and the RefSynced service (together, "RefSynced").
Our Privacy Policy explains how we handle your information and is part of these Terms. By creating an account or using RefSynced, you agree to these Terms. If you don't agree, please don't use RefSynced.
The short version
This isn't a substitute for the full Terms, but it's what matters most:
- You must be 18 or older.
- When you connect a platform, you authorize RefSynced to act as your agent there: stay signed in as you, read your games, and post or remove the blackouts you approve.
- The assigning platforms don't endorse RefSynced. A platform could restrict your account because of automated access. You accept that risk.
- You're still responsible for your availability and your assignments. RefSynced can miss things or get them wrong. Keep checking your schedule.
- RefSynced is free during the beta and provided as-is. Our liability is limited.
- Indiana law applies. Questions? Email support@refsynced.com.
1. Who can use RefSynced
- Age. You must be at least 18 years old to use RefSynced during the beta.
- Invitation. During the private beta, RefSynced is invite-only. Your invite is for you alone.
- Your own accounts. You may connect only platform accounts that belong to you. Don't connect someone else's account, even with their permission. Every referee needs their own RefSynced account.
- One person per account. Give us an email address you control. You're responsible for what happens in your RefSynced account.
2. What RefSynced does
RefSynced reads your games from the assigning platforms and calendars you connect: Assignr, RefInsight, GotSport and RefQuest, plus your Google Calendar if you connect it. It works out when you can't take another game and proposes blackouts on your other platforms so you aren't double-booked.
In these Terms, a "blackout" is any block of time marked as unavailable, whatever the platform calls it (blackout, blockout, Firm Block or unavailable time). A "connected platform" is a platform you've connected to RefSynced.
How RefSynced connects:
- Assignr: through Assignr's official API, with keys you provide from your Assignr account. RefSynced also reads your personal Assignr calendar feed.
- RefInsight, GotSport and RefQuest: through a secure cloud browser. You sign in yourself, in a live browser window on our Connect screen. RefSynced then keeps an encrypted copy of your signed-in session so it can act for you later. We never ask for or store your password.
- Calendar links you paste in, such as Assignr's and RefInsight's calendar feeds. RefSynced only reads these.
- Google Calendar, if you connect it: RefSynced keeps a "Ref Games" calendar of your games and, if you turn it on, reads busy times from the calendars you choose. Our Privacy Policy explains exactly what it reads and writes.
Features differ by platform and may change. Some tasks are by hand: RefSynced tells you exactly what to do, and you do it yourself.
3. You authorize RefSynced to act as your agent
When you connect a platform and tick the box on its Connect screen, you appoint RefSynced as your limited agent on that platform. You authorize RefSynced to:
- use your saved session (or, for Assignr, your API keys) to act in your account as you;
- read your games, offers, schedule and availability there;
- add, change or remove blackouts that you have approved;
- check that each change saved, and keep a screenshot as proof;
- run regular checks that your connection still works.
RefSynced will not use your access to accept, decline or turn back games, message assignors or anyone else, or change your profile, password or anything else in your account beyond the list above.
Nothing is posted without your OK. Every new blackout waits for your approval. When you approve, in the app or with the Approve button on a phone notification, you're instructing RefSynced to post it. When a game is cancelled, RefSynced asks before removing the blackout it posted.
You can withdraw this authorization at any time by asking us to disconnect the platform (during the beta, email support@refsynced.com) or by changing your password on that platform, which usually signs out every saved session. RefSynced then stops acting for you there and deletes your saved session (or your Assignr keys). Blackouts already posted stay on the platform until you remove them.
4. The platforms are separate companies
- Assignr, RefInsight, GotSport and RefQuest are run by separate companies. They aren't affiliated with RefSynced and don't sponsor or endorse it. Their names are trademarks of their owners, used here only to say what RefSynced works with.
- Each platform's own terms still apply to you. Some may limit automated access to accounts. We've asked each platform for permission or an official way to connect. Unless we tell you otherwise, a platform has not approved RefSynced.
- A platform could restrict your account. Because RefSynced acts for you, a platform could warn you, ask you to stop, make you sign in again, or limit, suspend or close your account. You understand and accept this risk when you connect.
- We don't try to get around platforms' protections. No CAPTCHA solving, no disguised browsers, no proxy networks. If a platform blocks us or asks us to stop, we switch that platform to by-hand steps and tell you. We may also pause a platform for everyone if something looks wrong.
- Platforms can change their websites at any time, which can break RefSynced features without warning.
5. You're still responsible for your schedule
RefSynced is a helper, not a guarantee. You remain responsible for your availability, your assignments, and your commitments to assignors, leagues and associations. That includes:
- reviewing each proposal before you approve it, and checking your schedule on each platform;
- accepting, declining and turning back games yourself;
- acting when RefSynced shows a day or platform as not covered, asks you to reconnect, or asks you to do something by hand;
- following the rules of the platforms, assignors and associations you work with.
RefSynced can be wrong or late. A feed may update late, a session may expire, a site change may break a form, a change may not confirm, or a time may be calculated wrongly. When RefSynced can't confirm that a change saved, it marks it "please check" instead of trying again. Please check it. Calendar apps may take a while to show updates.
6. Your RefSynced account
- You sign in with your Google account. There's no RefSynced password, so keep your Google account secure (two-step verification is a good idea).
- Don't share your phone notification topics or forward approval notifications. They act on your account.
- If you think someone else has used your account, email support@refsynced.com right away.
7. Acceptable use
Please don't:
- connect an account that isn't yours, or use RefSynced on someone else's behalf;
- use RefSynced to break the rules of a platform, assignor or association;
- try to see or change another user's data;
- use the cloud browser for anything other than signing in to the platform it opened for;
- overload, disrupt or interfere with RefSynced or the platforms;
- copy, scrape or reverse-engineer RefSynced, or access it by automated means (your calendar app reading your RefSynced calendar is fine);
- probe or test RefSynced's security, except to report a problem responsibly as described on our security page;
- use RefSynced for anything illegal.
We may suspend your account if you do. See section 13.
8. The beta, and paying later
- RefSynced is free during the private beta.
- It's a beta. Features may change, break or be removed. RefSynced may be unavailable at times. We may limit how many people or platforms it supports, and we may end the beta.
- Paying later. We plan to offer paid plans after the beta, billed through Stripe. We'll email you the price and terms at least 30 days before any paid plan starts. You'll never be charged unless you choose a paid plan and enter your payment details. Paid plans will have added terms that you'll see before you pay.
- Feedback. If you send us ideas or suggestions, we may use them freely without owing you anything.
9. Your data and our service
- Your data is yours. You give us permission to store, copy, process and display it only as needed to run RefSynced for you, as described in the Privacy Policy.
- RefSynced is ours. The software, design, name and logo belong to RefSynced LLC. We give you a personal, non-transferable permission to use RefSynced under these Terms, which ends when your account ends.
- Service providers. We use other companies to run RefSynced, such as hosting, email, error monitoring, notifications and cloud browsers. The Privacy Policy lists them.
10. No warranty
RefSynced is provided "as is" and "as available," without warranties of any kind, whether express or implied, including warranties of merchantability, fitness for a particular purpose and non-infringement. We don't promise that RefSynced will find every game, post every blackout correctly or on time, run without interruption or errors, or keep working with any platform.
11. Limitation of liability
To the fullest extent the law allows:
- RefSynced LLC and its owners, employees and agents won't be liable for any indirect, incidental, special, consequential or punitive damages. That includes lost game fees or earnings; missed, lost or double-booked assignments; fines or discipline from an assignor, league or association; and restrictions on your platform accounts. This applies even if we were told such damages were possible.
- Our total liability for all claims about RefSynced is limited to the greater of (a) what you paid us in the 12 months before the claim, or (b) $50.
Some places don't allow these limits, so they may not fully apply to you. Nothing in these Terms limits liability that the law doesn't allow us to limit.
12. Indemnity
If you break these Terms or the law, or connect an account that isn't yours, and someone brings a claim against RefSynced because of it, you agree to cover our reasonable costs, including legal fees.
13. Ending your use (termination)
- You can stop at any time. Email support@refsynced.com to delete your account, or disconnect Google Calendar on the Setup page.
- We can suspend or close your account, or stop acting for you on a platform, if you break these Terms, if your use puts other users or RefSynced's access to a platform at risk, if a platform asks us to stop, if the law requires it, or when the beta ends. We'll tell you first when we reasonably can.
- When your account ends, RefSynced stops acting for you, deletes your saved sessions, revokes your Assignr keys and Google access, and deletes your data as the Privacy Policy describes. Blackouts already posted stay on the platforms until you remove them.
- Sections 5 and 9 through 16 still apply after your account ends.
14. Changes to these Terms
We may update these Terms. The date at the top shows the latest version. If a change is significant, we'll email you at least 14 days before it takes effect. If you keep using RefSynced after that, you accept the new Terms. If you don't agree, you can delete your account.
15. Governing law and disputes
- These Terms are governed by the laws of the State of Indiana, without regard to its conflict-of-laws rules.
- Let's try to sort it out first. Email support@refsynced.com, and we'll both try in good faith to resolve the problem within 30 days.
- If we can't, any lawsuit must be brought in the state courts in Hamilton County, Indiana, or the federal court for the Southern District of Indiana, and we both agree to those courts' jurisdiction. Either of us may use small-claims court instead.
16. General terms
- Whole agreement. These Terms, the Privacy Policy and the consent you give on each Connect screen are the whole agreement between you and RefSynced.
- If one part fails, the rest still applies.
- Not enforcing a term right away doesn't mean we've given it up.
- Transfers. You can't transfer your account or these Terms. We may transfer them to a company that takes over RefSynced, and we'll tell you if we do.
- Things outside our control. We're not responsible for delays or failures caused by events we can't reasonably control, such as platform or internet outages, or failures at our service providers.
- Notices. We'll contact you at your account email. You can reach us at support@refsynced.com.
